1. Acceptance of these terms
By creating an account, registering, submitting an abstract, making a booking or making a payment on this portal, you agree to these Terms & Conditions and to our Privacy Policy. If you register on behalf of an organisation or group, you confirm that you are authorised to accept these terms for them.
2. The organiser
The 29th Energy Technology & Innovation Meet (ETM 2026) is organised by the Centre for High Technology (CHT) under the Ministry of Petroleum & Natural Gas, Government of India, co-hosted by Hindustan Petroleum Corporation Limited (HPCL), in association with FIPI. In these terms, "we", "us" and "the Organiser" mean CHT.
3. Accounts and eligibility
- You must give accurate, complete and current information and keep it up to date.
- You are responsible for keeping your login details confidential and for all activity under your account. Tell us immediately if you suspect unauthorised use.
- Concessional fee categories (for example start-ups, MSMEs and academia) are available only to eligible participants. We may ask for supporting documents such as GSTIN, DPIIT, Udyam or institutional identity.
- If information is found to be false or a participant is ineligible for the category chosen, we may reclassify the registration and request the fee difference, or cancel it without refund.
4. Registration and booking
- Submitting a form does not confirm a registration or booking. A registration is confirmed only when payment is verified and the booking is approved by the Organiser. You will be notified by email.
- Sponsorship and exhibition bookings are subject to separate review and approval, and to availability. We may decline a booking at our discretion; any amount paid for a declined booking will be refunded in full.
- Delegate places, sponsorship tiers and exhibition stalls are limited and allotted in the order in which bookings are confirmed, unless the Organiser decides otherwise.
- Badges are personal and non-transferable. Delegates must carry a valid government-issued photo ID to collect a badge and enter the venue.
5. Fees, taxes and payment
- All fees are in Indian Rupees and are subject to GST at the applicable rate (currently 18%), shown separately at checkout.
- You can pay online through Razorpay, or offline by bank transfer to the account shown on the portal, followed by uploading proof of payment. Offline payments are confirmed only after the amount is credited and verified.
- Gateway or bank charges for offline and international transfers are borne by the payer.
- Tax invoices are issued in the name and GSTIN given at the time of booking. Please check these carefully; changes after an invoice is issued may not be possible.
- Fees cover what is stated for the chosen category. Travel, accommodation and visa costs are not included unless expressly stated.
6. Cancellation, substitution and refund
- Cancellations must be requested in writing by email from the registered address.
- Delegate fees, sponsorship and exhibition charges are non-refundable once the registration or booking is confirmed, except as stated below.
- Substitution is allowed: a confirmed delegate from the same organisation may be replaced by another eligible person, free of charge, if requested in writing at least 3 working days before the event.
- If the Organiser cancels the event, or declines a booking, the amount paid will be refunded in full, excluding any third-party bank or gateway charges.
- If the event is postponed, registrations remain valid for the new dates.
- Approved refunds are processed to the original payment method or bank account within 30 working days.
- Duplicate or excess payments made in error will be refunded on request after verification.
7. Abstract submission
- Abstracts must be the original work of the authors and must not infringe any copyright, confidentiality or other right. You confirm you have permission from your organisation and co-authors to submit.
- Selection is made by the Organiser's technical committee. Its decision is final and reasons need not be given.
- At least one author of each selected paper must register and present in person, unless the Organiser agrees otherwise.
- By submitting, you give the Organiser a non-exclusive, royalty-free licence to publish the title, abstract, presentation and author details in the programme, proceedings, website and related event material. Authors keep copyright in their work.
- Abstracts must not contain commercial promotion. Content that is offensive, plagiarised or misleading will be rejected.
8. Sponsorship and exhibition
- Sponsorship deliverables are as described for each tier at the time of booking and are subject to availability and venue constraints.
- Stall locations are allotted by the Organiser. We may change a stall location or layout for operational or safety reasons.
- Logos, artwork and promotional material must be supplied in the format and by the deadline we specify. Late material may not be included.
- Exhibitors are responsible for their staff, exhibits and materials, for complying with venue safety, fire and electrical rules, and for any damage they cause. We recommend exhibitors insure their goods.
- Exhibitors must not sublet stalls or promote products of other companies without written approval.
- Branding and content must be lawful and appropriate for a government-organised technical forum. We may remove material that does not meet this standard.
9. Conduct at the event
The venue is a secure ONGC campus. All participants must wear their badge at all times, follow instructions from security and event staff, and comply with venue rules. We expect respectful, professional conduct. Harassment, disruptive behaviour or misuse of the event may lead to removal without refund.
10. Photography and recording
By attending, you agree that you may appear in photographs, video or live streams of the event, which may be used by the Organiser, MoP&NG, HPCL and partners for official, non-commercial communication. See our Privacy Policy for how to opt out. Personal audio or video recording of sessions is not allowed without the permission of the speaker and the Organiser.
11. Changes to the programme
The Organiser may change the programme, speakers, session timings, venue layout or format where necessary. Such changes do not entitle participants to a refund, unless the event as a whole is cancelled.
12. Events outside our control
We are not responsible for failure or delay caused by events beyond our reasonable control, including natural disasters, epidemics, government orders, security threats, strikes, and failure of utilities or networks. In such cases we may postpone, relocate, move online or cancel the event, and refunds will be handled as set out in the Cancellation section.
13. Acceptable use of the portal
You must not:
- Attempt to access accounts, data or admin areas that are not yours.
- Upload malware, or files that are unlawful, offensive or infringing.
- Interfere with the security or operation of the portal, including by automated scraping or excessive requests.
- Use the portal to send unsolicited marketing or to impersonate another person or organisation.
We may suspend accounts that breach these rules and report unlawful activity to the authorities.
14. Intellectual property
The portal's content, design, the ETM name and logos, and the logos of CHT, MoP&NG, HPCL and FIPI belong to their respective owners. You may not reuse them without written permission, except for sharing links to the portal or referring to your participation in the event.
15. Limitation of liability
We take care to keep the portal accurate and available, but it is provided "as is". To the extent permitted by law, the Organiser is not liable for indirect or consequential loss, loss of business or profit, or loss of or damage to personal belongings at the venue. Our total liability for any claim relating to a registration or booking is limited to the amount you paid for it.
Nothing in these terms limits any liability that cannot be limited under Indian law.
16. Indemnity
You agree to indemnify the Organiser against claims, losses and costs arising from your breach of these terms, from content you submit, or, for exhibitors and sponsors, from your exhibits, staff and promotional material.
17. Governing law and disputes
These terms are governed by the laws of India. We will try to resolve any dispute amicably first. If that fails, the courts at Gautam Buddh Nagar (Noida), Uttar Pradesh, will have exclusive jurisdiction.
18. Changes to these terms
We may update these terms. The date at the top of the page shows the latest version. The version in force when your registration or booking is confirmed applies to it, except for changes required by law.
